AI Meet Notes ("we", "us") provides AI meeting notes and recordings for Google Meet users. This policy explains what information we collect, how we use it, and the choices you have. Contact: info@aimeetnotes.com.
Information we collect
- Contact details you submit on our website: name, company, work email, phone number, team size and meeting platform.
- Calendar information from calendars you share with us: meeting titles, times, descriptions, Google Meet links and participant email addresses.
- Meeting content: notes, transcripts and recordings generated by Google Meet for meetings where our account is the organizer.
- Billing details needed to invoice you. Card and UPI payments are handled by our payment provider; we do not store card numbers.
How we use it
- To set up note-taking and recording for your Google Meet meetings, format the notes, and email them to the recipients you choose.
- To transfer ownership of the notes document and recording to you.
- To contact you about your account, support requests and billing.
We do not sell your information, use it for advertising, or use your meeting content to train AI models.
Retention and deletion
After notes are delivered and the files are transferred to your ownership, we delete our copy of the meeting notes, transcript and recording, normally within 7 days. Website enquiries are kept for up to 12 months. Billing records are kept as long as Indian tax law requires.
Who we share it with
We use service providers to run the service: Google Workspace (calendar, Meet, Drive, Sheets and email), Cloudflare (website hosting), our payment provider, and AI providers used to format notes. They process data only on our instructions. We may disclose information if required by law.
Your choices
- Stop the service at any time by removing calendar sharing. Access ends immediately.
- Exclude specific meetings or calendars from note-taking and recording.
- Ask us to access, correct or delete your information by emailing info@aimeetnotes.com. We reply within 30 days.
Meeting participants
Customers are responsible for informing their meeting participants that AI notes or recording are in use. Google Meet also shows its own notice during meetings where notes or recording are on.
Security
We use access controls, two-step verification on our accounts, and the security features of Google Workspace. No system is fully secure, and we will notify affected customers without undue delay if a data breach affects them.
Governing law
This policy is governed by the laws of India, including the Digital Personal Data Protection Act, 2023.
Changes
If we change this policy, we will update the date above and notify customers by email about important changes.
